Privacy Notice (POPIA)
This notice explains how ASC Food Safety and Public Health Consultants (Pty) Ltd, trading as ASC Pest Control, collects, uses, shares, protects and retains your personal information, and how you can exercise your rights under the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are
ASC Food Safety and Public Health Consultants (Pty) Ltd, trading as ASC Pest Control ("ASC", "we", "us" or "our"), is the responsible party for the personal information described in this notice. We are a registered pest control business and part of the ASC Food Safety Consultants group. Our head office is at 14 Brickmakers Kloof Road, South End, Gqeberha, 6001, and our Gauteng office is at 272 Oak Avenue, Ferndale, Randburg, 2194.
We take the protection of your personal information seriously and process it in line with POPIA and other applicable South African law.
2. Scope of this notice
This notice applies to personal information we collect through our website (ascpestcontrol.co.za), our client portal (hub.ascpestcontrol.co.za), our enquiry and quotation channels, and the delivery of our pest control and food safety services. It applies to prospective clients, clients, site contacts, suppliers and visitors to our website.
3. What personal information we collect
We collect only the information we reasonably need for the purposes set out below. Depending on how you interact with us, this may include:
3.1 Enquiry and quotation information
- Your name, company or organisation name, and job title or role.
- Contact details such as email address, telephone number and WhatsApp number.
- The address or location of the premises you want us to service.
- Details of your enquiry, including the pest concern, type of premises and any service history you share.
3.2 Service records
- Site details, floor plans and pest control device or bait station locations.
- Inspection findings, trend data, treatment records, product and dosage records, and recommendations.
- Service reports, audit packs, photographs of pest activity or conducive conditions, and correspondence.
- Records captured through the My ASC Pest Hub portal.
3.3 Site contacts and account information
- Names, roles and contact details of the people at your premises who liaise with our technicians.
- Billing and account details, including VAT numbers and payment references (we do not store full card details).
3.4 Website and technical information
- Information collected automatically through cookies and similar technologies, such as IP address, browser type and pages visited. Please see our Cookie Policy for details.
4. Why we process your personal information (purpose)
We process personal information for the following purposes:
- To respond to your enquiries and prepare quotations.
- To conclude and manage service agreements and to deliver our pest control and food safety services.
- To keep accurate service records, trend data and audit ready documentation for your premises.
- To communicate with you about appointments, service visits, reports and account matters.
- To invoice you and manage payments.
- To comply with legal, regulatory and professional obligations, including record keeping under the relevant pest control legislation.
- To improve our services and website, and to manage our business operations.
5. Lawful basis for processing
We rely on one or more of the following justifications recognised by POPIA:
- Performance of a contract: to provide the services you have requested and to manage our agreement with you.
- Legal obligation: to meet our statutory and regulatory record keeping and reporting duties.
- Legitimate interests: to run, protect and improve our business in a way that does not unreasonably prejudice your rights.
- Consent: where consent is required, for example certain marketing communications or non-essential cookies. You may withdraw consent at any time.
6. Sharing your personal information
We do not sell your personal information. We may share it, only where necessary and under appropriate safeguards, with:
- Other companies within the ASC Food Safety Consultants group where they support the delivery of our services.
- Trusted operators who process information on our behalf, such as our hosting, IT, portal, communications, accounting and payment service providers, under written agreements that require them to protect your information.
- Professional advisors such as auditors, attorneys and accountants.
- Regulators, authorities or other parties where we are required or permitted to do so by law.
Where personal information is transferred outside South Africa, for example through a cloud service provider, we take reasonable steps to ensure a comparable level of protection as required by POPIA.
7. Retention
We keep personal information only for as long as it is needed for the purposes set out in this notice, or for as long as the law requires. Service records and compliance documentation may be retained for extended periods to meet legal, regulatory and audit requirements. When information is no longer required, we securely delete, destroy or de-identify it.
8. Your rights as a data subject
Subject to the conditions in POPIA, you have the right to:
- Be notified that we are collecting your personal information, and where it is collected from another source.
- Request access to the personal information we hold about you.
- Request that we correct or delete personal information that is inaccurate, out of date, incomplete, misleading or unlawfully obtained.
- Object, on reasonable grounds, to the processing of your personal information.
- Object to processing for the purposes of direct marketing.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with the Information Regulator.

9. Direct marketing
We will only send you electronic marketing communications where the law allows or where you have consented. Every marketing message will give you a simple way to opt out. You can also contact us at any time to stop receiving marketing.
10. Security
We apply reasonable technical and organisational measures to protect personal information against loss, damage, unauthorised access and unlawful processing. These include access controls, secure hosting, staff confidentiality and the use of reputable service providers. No system can be guaranteed to be completely secure, but we work to maintain safeguards appropriate to the sensitivity of the information.
